MemberPulse is a dashboard for gym and studio owners, operated by Tek Hubs LLC (“we”). It brings together a studio's leads, memberships, marketing and reviews so its owners and directors can see how the studio is doing. This policy explains what MemberPulse collects, how it is used, who processes it for us, and the choices studios have.
Who uses MemberPulse
Only a studio's owners and directors sign in, with their Google account. We keep their name, email address and when they last signed in, so we can let them in and show who has access.
We also record how MemberPulse is used: which pages each person opens and for how long, and what they do with the dashboard's suggestions. The studio's owners see this for their own studio, and we use it to improve MemberPulse. Where a suggestion is about a lead or member, we store only a one-way code in place of who it was. These records are kept for 13 months.
What a studio connects
An owner may connect the services their studio already uses. Each one is connected by the owner signing in to that service and approving access; the owner can disconnect it at any time from Settings › Integrations.
- Alloy Ops (GoHighLevel): leads and members, their conversations with the studio (texts, emails, and call transcripts where the studio records calls), pipeline stages and appointments.
- Mindbody: members, memberships, visits and appointments, read-only.
- Meta: the studio's ad account results, Facebook Page and Instagram account activity, read-only.
- Google Business Profile and Google Ads: the studio's listing, reviews, star rating and performance (searches, calls, direction requests, website clicks), and its Google Ads spend and results, read-only.
MemberPulse only reads Mindbody, Meta and Google. It does not post, edit listings, reply to reviews, change ads, book, charge or message anyone on them.
In Alloy Ops, MemberPulse changes something only when the studio asks it to: moving a lead to another pipeline stage when someone at the studio does so from the dashboard, and, if the studio asks us to switch it on, keeping each lead's source and each member's Mindbody membership up to date on their Alloy Ops record (adding the record if a member has none). It never messages anyone.
How the data is used
- To show the studio's own owners and directors their dashboard: who to call, who is at risk, marketing results and reviews.
- To draft replies to the studio's own leads and members, using the policies and communication style the studio has written. Drafts are shown to the studio; MemberPulse does not send them on its own.
- To write each day's suggestions and a short profile of each lead and member with an AI model (see below).
A studio's data is shown only to that studio's owners and directors. It is never shown to another studio, sold, rented, or used for advertising.
Who processes it for us
For a studio's leads', members' and team's information, the studio decides and we process it on its behalf, under the data processing terms in our terms of service. These companies process it for us, only to run MemberPulse, all in the United States:
- Vercel hosts MemberPulse, and Neon is its database.
- Trigger.dev runs the nightly updates that read each connected service.
- Anthropic (the Claude AI model) receives each lead's and member's details from Alloy Ops, including their conversations with the studio, to write the suggestions and profiles above. Anthropic does not use this data to train its models. No Meta or Google data is sent to it.
- Slack is where our team receives the problem reports a studio sends from the Support button (with the screenshot and page details the person chose to include), requests for access from the sign-in page, and Meta's data deletion requests.
- Resend delivers the one email MemberPulse sends: an invitation, when someone is added to a studio or their studio is approved. It carries their email address, the studio's name and who added them.
- Stripe handles membership payments. MemberPulse never sees or stores card numbers.
Google user data
MemberPulse's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We request only the access needed to read a studio's Business Profile (reviews, rating and performance) and its Google Ads results.
- We use that data only to show it to the studio's own owners and directors inside MemberPulse.
- We do not transfer it to others except as needed to run MemberPulse (our hosting and database providers), to comply with the law, or with the owner's permission. It is not sent to any AI model.
- We do not use it for advertising, and we do not sell it.
- No person at MemberPulse reads it except with the owner's permission, for security, to comply with the law, or where it has been aggregated so it identifies no one.
- We do not use it to train general artificial-intelligence or machine-learning models.
How it is stored and protected
Data is stored with Vercel and Neon in the United States. Sign-in tokens for connected services are encrypted before they are stored. Access to each studio's data is checked on every request.
How long we keep data
We keep a studio's data until its owner asks us to delete it. That holds while the studio uses MemberPulse and after it stops: when its membership ends, its free period runs out or its dashboard is paused, its data stays where it is, so a studio that comes back finds its history as it left it. While a dashboard is paused, MemberPulse stops reading the studio's services, so nothing new is added.
Two things are kept for less: the records of how MemberPulse is used are kept for 13 months, and a connected service's sign-in is deleted as soon as the studio disconnects it, which also stops MemberPulse reading that service.
Deleting data
An owner can ask us to delete all of their studio's data by emailing saurabh.choudhury@gmail.com. We do so within 30 days and tell them when it is done. It removes the studio and everything MemberPulse holds for it: its team, its connected services' sign-ins, its leads' and members' details and conversations, the profiles and drafts written about them, and its dashboard's history. We keep only a record that the deletion happened and who asked for it. Deleted data can remain in our providers' short-term backups until those backups expire.
If you are a member or lead of a studio that uses MemberPulse, ask the studio about your details: it decides what happens to them, and we act on its instructions.
Anyone can also remove MemberPulse's access to their Google account at myaccount.google.com/permissions.
Changes
If this policy changes, we will update the date above and tell studio owners of any significant change.
